Filtering the Planner
See one part of your life at a time in the Planner: just your Work, just your Personal, or a single project. The filter works in Day, 3 Days and Week.
How to use
- Click the filter at the start of the Planner's header (it reads All until you pick something), then choose an area, a project or Unassigned. Each choice shows how many tasks it would show for the days on screen.
- Or press F in the Planner to open it, then ↑ / ↓ and Enter. Esc closes it.
- Or press ⌘K and type show and the name, for example Planner: show Work. It opens the Planner on that area or project from anywhere.
While a filter is on, the chip is tinted in the area's colour. To see everything again, click its ×, pick All, or click Show all under your tasks.
What the filter shows
- Areas: a task belongs to the area it's in. If it has no area of its own, it belongs to its project's area.
- Projects: only that project's tasks.
- Unassigned: tasks with no area and no project area.
- Meetings: a meeting from a calendar you've linked to another area is hidden too. Meetings from calendars with no area always show. A project filter never hides meetings.
Nothing gets lost
- Under your tasks, a line says what the filter is hiding, for example 2 more tasks and 1 meeting in other areas (1 overdue). Overdue work is always counted, so it never disappears silently.
- If nothing in the filter is due, the Planner says so (Nothing in Work today) with a Show all button.
- A task you add while filtered goes into that area or project, so it stays in view.
- Plan My Day starts with the filtered area ticked and says Planning Work only. You can still change the areas before planning.
Good to know
- The filter is remembered on all your devices, and it stays the same when you switch between Day, 3 Days and Week.
- It only applies to the Planner. The Tasks, Notes and Projects views have their own filters.
- The iPhone and iPad apps don't have the filter yet. They show everything.
